Creating and Sending Job Offers in Sprockets
Sprockets makes it easy to manage job offers from start to finish — from building templates to sending them directly to applicants. This guide walks you through each step of the process.

Step 1: Create Offer Letter Templates
Offer letter templates save time and ensure consistency across positions.
- Navigate to Company Settings.
- Select the Job Offers tab.
- Click Create a New Template.
- Complete the fields:
- Template Name — e.g., [Position] Offer Letter.
- Job Offer Body — brief message that appears in the email sent to applicants.
- Web Content — detailed content shown after the applicant clicks the email button; includes Accept and Decline options.
- Click Save.
Attach Templates to Positions
- Go to the Jobs tab.
- Select the position.
- Click Actions → Job Settings.
- Toggle on Use Job Offer.
- Select the appropriate template from the dropdown.
- Scroll down and click Save.
Step 2: Create a Job Offer for an Applicant
Hiring managers can generate offers directly from the applicant's profile.
- Navigate to the Applicants tab.
- Change the applicant's Stage to Offer.
- In the popup, enter:
- Start Date & Time
- Wage Range
- Address (select or add custom)
- Hiring Manager (select user)
- Click OK — this creates the offer (not yet sent).
Tip: If you need to remove an offer, you can delete it from the Offers tab and update the applicant's stage (e.g., to Rejected).
Step 3: Send the Offer
- Go to the Offers tab.
- Under Offer Body, click Send to open, review, and edit the message.
- Click Send to deliver the offer.
- Offer Status updates from Not Sent → Sent. When the applicant responds, it becomes Accepted or Rejected.
Applicant Experience
- The applicant receives an email (and text if enabled) containing the Job Offer Body.
- They click Respond to open the Web Content page.
- At the bottom of the page, they can Accept or Decline the offer.
- On acceptance, their stage updates automatically.
Note: Applicants will receive email only (no text) if the hiring manager hasn't registered a mobile number in their profile.
Step 4: Mark an Applicant as Onboarded
- Locate the Onboarded column and toggle it on for accepted offers.
- This moves the individual into the next stage and provides a clear view of onboarded vs. non-onboarded hires.
Step 5: Notifications & Best Practices
- Go to Personal Settings → Personal Notifications.
- Toggle Notify me when an offer is sent to receive alerts.
- Ensure both Job Offer Body and Web Content templates are complete before sending. (You may reuse the same content for both if needed.)
- On acceptance, applicants agree to the terms outlined in your Web Content template.
Additional Notes
- Message History: All communications are logged in the applicant's profile.
- Status Updates: Sending and accepting offers automatically adjust applicant stages.
