Permission Profiles
Create reusable permission settings to control what different user groups can see and do in Humanly.
Manage user access with Permission Profiles
Permission Profiles help admins control what different users can see and do in Sprockets powered by Sprockets powered by Humanly. Instead of configuring permissions one user at a time, admins can create a profile for a user type — like General Manager, Store Manager, Recruiter, or Admin — and assign that profile to multiple users.
When a Permission Profile is updated, the change applies to all users assigned to that profile. This makes it easier to manage access at scale and keep permissions consistent across teams.
Create consistent access across user groups
Use Permission Profiles when you need to:
- ✓ Give different user groups different levels of access
- ✓ Restrict access to sensitive candidate, job, or account information
- ✓ Set up manager-level users with limited visibility
- ✓ Apply the same access settings to multiple users
- ✓ Update many users' permissions at once
- ✓ Standardize access across locations, stores, teams, or departments
Example: An organization may want a Store Manager profile that allows managers to review candidates and participate in hiring workflows, but does not allow them to access dashboards or edit job settings.
Manage permissions centrally
Permission Profiles are managed in the admin section of the Sprockets powered by Sprockets powered by Humanly portal.
Each profile contains a set of permissions that determines which areas of the product users can access and what actions they can take. Once a profile is created, it can be assigned to one or more users.
If the profile is later changed, all users assigned to that profile receive the updated permissions automatically.
Admin
Admins typically have full access to product settings, users, jobs, candidates, reporting, and account-level configuration.
Use this profile for users who are responsible for managing the Sprockets powered by Sprockets powered by Humanly account.
Recruiter
Recruiters typically need access to candidate management, conversations, messaging, interviews, and hiring workflows.
Use this profile for users who actively manage candidates and recruiting activity.
Hiring Manager
Hiring Managers may need access to candidates and interviews for jobs they support, but may not need access to administrative settings or job configuration.
Use this profile for users who participate in the hiring process but should have limited product access.
General Manager or Store Manager
General Manager or Store Manager profiles are often more restricted. For example, a profile may remove access to dashboards or the jobs tab while still allowing the manager to participate in relevant hiring activities.
Use this profile for location-level managers or field leaders who only need access to specific hiring workflows.
Control access across Sprockets powered by Sprockets powered by Humanly
Permission Profiles may be used to control access to areas such as:
Candidate information
Conversations and messaging
Job-related actions
Dashboards and reporting
Job settings
Admin settings
User management
Offer or hiring workflow actions
Visibility into specific tabs, menus, or product sections
Available permissions may vary depending on the customer's configuration and enabled Sprockets powered by Sprockets powered by Humanly features.
Start with least privilege
Give users only the access they need to do their work.
Create profiles by user type
Avoid one-off permission setups when multiple users share the same role.
Use clear profile names
Names like "Store Manager," "Recruiter," or "Admin" make profiles easier to manage.
Review profiles before rollout
Confirm that each profile gives users the right access and removes anything they should not see.
Test restricted profiles
Before assigning a profile broadly, test it with a sample user to confirm the experience.
Update profiles instead of individual users
If multiple users need the same access change, update the profile rather than changing each user manually.
What to confirm before rollout
Before rolling out Permission Profiles, confirm:
- ✓ Which user groups need access to Sprockets powered by Sprockets powered by Humanly
- ✓ What each group should be able to see
- ✓ What each group should be able to do
- ✓ Whether any users need restricted access to dashboards, jobs, settings, or candidate information
- ✓ Whether location-level or team-level access rules are needed
- ✓ Who should approve changes to user access
For larger rollouts, it may be helpful to create an initial set of profiles, review them with the customer, and adjust based on feedback before assigning them broadly.
Permission Profiles FAQ
What is the difference between a permission and a Permission Profile?
A permission controls access to a specific area or action in the product. A Permission Profile is a group of permissions that can be assigned to users.
What happens when I update a Permission Profile?
When a Permission Profile is updated, all users assigned to that profile receive the updated permissions automatically.
Can one profile be assigned to multiple users?
Yes. Permission Profiles are designed for assigning the same access settings to multiple users.
Can a user's access be restricted?
Yes. Permission Profiles can be used to limit access to specific product areas, actions, or settings.
Should every user have a custom profile?
No. In most cases, it is better to create standardized profiles by user type. This keeps access easier to manage and reduces the chance of inconsistent permissions.
Can Permission Profiles support manager-level access?
Yes. A common use case is creating restricted manager profiles, such as General Manager, Store Manager, or Hiring Manager, so those users can participate in hiring workflows without receiving full admin access.
Manage access at scale
Permission Profiles make it easier to manage user access in Sprockets powered by Sprockets powered by Humanly. They allow admins to create reusable access settings, assign them to groups of users, and update permissions centrally as needs change.
They are especially useful for customers with multiple locations, manager-level users, or teams that need different levels of product access.
